A letter from David
Every private-pay inquiry answered in minutes, booked for an assessment, and tracked to admission, without you being the one who picks up the phone.
In 30 days, your intake stops depending on whether you were free when the family called.
The problem
A family called you this week. Did they become a client?
Most owners cannot answer that. Not because they do not care. Because the answer is spread across a cell phone, a voicemail box, a Facebook inbox, a web form nobody checks on Saturday, and a sticky note from the referral your nurse friend sent.
The family did not wait. They called two other agencies the same afternoon. Whoever called back first got the assessment.
The data
What the numbers say
Activated Insights surveys more than a thousand home care agencies every year. Their 2026 report says three things that matter here.
29%
Median inquiry-to-admission conversion
$3.15M
Median revenue, agencies that track every inquiry
$1.40M
Median revenue, agencies that do not
The median agency turns 29 percent of its inquiries into admissions. Seven out of ten families who reached out became someone else's client, or nobody's.
Agencies that track every single inquiry report median revenue of $3.15 million. Agencies that do not report $1.40 million. That gap has widened five years in a row. Tracking alone does not create revenue. But agencies that know what happened to every inquiry are the ones that fix what is losing them.
Word of mouth is still the biggest source of new clients, ahead of every paid channel. So the inquiries you are losing are often the ones you did not pay for. A referral that went to voicemail is the most expensive lead you will ever lose.
The old way
Why the usual fixes do not fix it
More ads
More inquiries into the same phone just means more families who never hear back. You pay for the lead and lose it in the same afternoon.
A marketing agency
They report clicks and form fills. They stop at the inquiry. What happens after the inquiry is the part they do not touch, and it is the part that decides whether you grow.
Hiring an intake coordinator
It works if you can afford one, train one, and keep one. At one location, most owners cannot justify the salary until the admissions are already there. So the owner stays the coordinator.
Answering faster yourself
You will, for a week. Then you are on a visit, or on payroll, or asleep, and the family calls the next agency.
After 30 days
What changes
Today, whether a family becomes a client depends on who picked up and whether anyone called back. After 30 days:
- -Every inquiry, from the phone, your website, Facebook, and referrals, lands in one pipeline.
- -A missed call gets a text back right away, so the family knows they were heard.
- -A new inquiry gets a first response within minutes, day or night.
- -The response pushes toward one thing: a booked in-home assessment on your calendar.
- -Families who are not ready get follow-up, so they do not disappear when they are.
- -Inquiries from the last 12 months get contacted once, because some of them still need care.
- -Every Monday you see one report: inquiries, assessments booked, admissions, and why the rest were lost.
You still do the assessment. You still build the care plan. You still staff the case. We build and run the path that gets the family to your door.
In practice
How it gets done, step by step
Day 1. Kickoff call with David. One hour. He walks through every way a family reaches you today, who answers, what happens after hours, your service area, your minimum hours, and your assessment availability. You export your last 12 months of inquiries.
Week 1. Build. Your pipeline, inquiry forms, missed-call text-back, and assessment calendar are set up on your business number. Nothing sends yet.
Week 2. Words. David writes the first-response text, the follow-up messages, and the reactivation message with you. You approve every one before it goes out. Then the path goes live on your real inquiries.
Week 3. Old inquiries. Families from the last 12 months are contacted once. Referral sources get a note that says you have openings.
Week 4. First review. You and David look at the first report together: what came in, what booked, what was lost and why. The words change based on what the families actually said.
Day 30. The path is live on every channel, the report arrives weekly, and you know your own conversion number for the first time. From here the monthly work is keeping it tuned.
Plainly
What we will not promise
- -A number of new clients. A conversion percentage. We do not control whether a family says yes at the assessment, and anyone who guarantees that is pricing the risk into the fee.
- -Anything about caregiver retention or staffing. This is intake. If your roster cannot take a new case, fix that first.
- -That David builds it by himself. David runs your kickoff, your words, and your review. The build is done by the person named in your kickoff email.
- -Client results from other agencies. GrowVisor is taking its first founding clients on this offer. You will not see testimonials, because there are none yet to show honestly.
Fit
Who this is for, and who it is not
For
- -One private-pay, non-medical home care location.
- -You can staff a new 20-hour case within a week.
- -You, or one person in your office, handle inquiries today.
- -You will take the assessment calls the system books.
Not for
- -An agency turning away cases because it cannot staff them. More admissions make that worse.
- -A group home or HCBS provider looking for case-manager placements.
- -An agency that wants a guaranteed client count. We will not write that down.
Call asset. Not on any other page.
Three ways to start
Nothing is on an invoice until you say yes. These numbers do not appear on the homepage, the ads, or the booking page. They enter the conversation on the call.
| Admissions Setup | Admissions Desk | Multi-Location | |
|---|---|---|---|
| Upfront, for the 30-day build | $3,000 | $4,500 | $8,000 to $12,000 |
| Monthly retainer from day 30, 3-month minimum | $1,500 | $2,000 | $3,000 to $5,000 |
| Pipeline, forms, missed-call text-back, follow-up, assessment calendar | Yes | Yes | Yes, per location |
| Old inquiries contacted once | Yes | Yes | Yes |
| Weekly admissions report | Yes | Yes | Yes |
| First response and assessment booking handled for you | No, you call back | Yes | Yes |
| Monthly referral partner follow-up after week 3 | Yes | Yes | |
| Review with David | Monthly | Weekly | Weekly |
| Paid ads to families | From day 30, ad spend separate | From day 30, per location, ad spend separate |
Admissions Setup is the path and the report. You still make the first call back, but you make it knowing every inquiry is in front of you.
Admissions Desk is the one to look at if you do not want to be the first call, or if you need more inquiries coming in. The first response and the assessment booking are handled for you, paid ads to families start on day 30 once the path is live, and David reviews it with you every week. You pay the ad spend, we run the ads.
Multi-Location is for a second location. It is not where anyone starts.
The assurance
If we do not finish our side
That holds if you join the kickoff, send your inquiry export in week one, approve the words within two business days, and take the assessments that get booked. It is a promise about our work. It is not a promise about revenue.
Who is behind this
Who you are talking to
I am David Uwikunze. I run GrowVisor LLC in Maine.
I worked in my family's group home, where I saw firsthand how families search for care and how much fast, reliable communication matters. That experience led me to focus on helping private-pay home care agencies build a better intake and follow-up process.
I am not going to dress that history up as a private-pay case study. There is not one yet. What you get is me on your kickoff, me on your words, and me on your review, with the build done by a named person on our side.
What happens when we talk
The call
Bring last month's inquiries, or your best guess. We will count how many came in, how many got a call back, how fast, and how many booked an assessment.
If your roster is the problem, I will tell you and we will not go further. If the path is the problem, I will show you the 30 days above and which tier fits.
